How to set up a new iPhone for an aging parent — even from out of state

You bought mom or dad a new iPhone. Now you want a plan: get it set up, move everything from the old phone, and make it genuinely easy to use — without a frustrating weekend on the phone. Here’s the whole thing, in plain English.

First: which iPhone actually fits a parent?

The newest, biggest, most expensive iPhone is usually not the right one. For an older parent, the goal is light in the hand, easy on the eyes, and big enough to not fill up. A few honest pointers:

  • Storage: get at least 128GB. Photos pile up fast, and a phone that says “Storage Full” every week is a misery to live with.
  • Screen size: a standard (not “Pro Max”) size is easier to hold and pocket. A huge phone is heavier and harder to manage with smaller hands.
  • Skip the extras: they don’t need the fanciest camera or the most storage tier. Spend the savings on a sturdy case and a screen protector instead.

The day it arrives: the calm setup order

Do these in order and the rest of the day goes smoothly. If your parent is right there with you, even better — let them watch, and let them type the passwords.

  1. 1Sign in with the right Apple IDUse your parent’s own Apple ID and email — not yours. If they don’t have one, make it together on a call so they know the password. Write it down on paper.
  2. 2Join the home Wi-FiHave their Wi-Fi name and password handy before you start. Everything else goes faster once the phone is connected.
  3. 3Pick a passcode they’ll rememberA 6-digit code tied to something familiar beats a random one they’ll forget. Skip clever — pick memorable.
  4. 4Decide Face ID vs. a codeFace ID is genuinely easier for most older adults — no tiny typing. Set it up, but keep the passcode as the backup.

Moving everything over (the easy way)

Apple makes this almost magical with a feature called Quick Start. Set the old phone and the new phone next to each other, both turned on, and the new phone offers to copy everything across:

  • Photos, contacts, text messages, and most apps transfer automatically.
  • Keep both phones plugged in — a full transfer can take a while.
  • When it finishes, double-check: open Photos (are the pictures there?), open Contacts (is everyone there?), and send one test text.

The one thing to know: Quick Start needs both phones in the same room. If the old phone is at your parent’s house and you’re states away, this is the step that’s hard to do over the phone — more on that below.

Five settings that make it genuinely senior-friendly

This is the part most people skip — and it’s the part that decides whether your parent loves the phone or fights with it. Five minutes here changes everything.

Larger text

Settings → Display & Brightness → Text Size

Drag the slider up until they can read it comfortably from a normal distance.

Bold fonts

Settings → Display & Brightness → Bold Text

Thicker letters are far easier on tired eyes — turn it on.

Bigger app icons

Settings → Display & Brightness → Display Zoom → Larger Text

Makes the whole home screen roomier and easier to tap.

A louder, longer ringer

Settings → Sounds & Haptics

Turn the ringer up and pick a tone they’ll actually hear from across the room.

Reduce confusing motion

Settings → Accessibility → Motion → Reduce Motion

Calms the sliding, zooming animations that can feel disorienting.

Set it up safely — without taking control away

A new phone is a great moment to build good habits. A few rules that keep your parent both safe and independent:

  • Keep them present and let them type their own passwords. It’s their phone.
  • Never store their passwords in a note or a text. Write them on one piece of paper they keep somewhere safe at home.
  • Make a one-page cheat sheet by the phone: how to unlock it, how to call you, how to answer, and the one rule for scams — no real company asks for codes, gift cards, or remote access.

Doing it all from out of state

Here’s the honest truth most articles won’t tell you. You can do a real amount over a video call — and there’s a clear limit:

What you can do remotely

  • Walk them through turning it on and joining Wi-Fi over FaceTime.
  • Read out the accessibility settings, one tap at a time.
  • Talk them through their first calls, texts, and photos.

What’s genuinely hard from afar

  • The Quick Start transfer (both phones must be physically together).
  • Fixing it when a step goes sideways and they’re flustered.
  • Reaching across the country to tap the screen for them.

This is the gap a patient local visit fills. Someone sits at the kitchen table, moves everything over, tunes every setting, and leaves a cheat sheet — while you stay in the loop. A simple first-week checklist for your parent

Familiarity beats features. Have them do these small things in the first week so the new phone feels like a friend, not a puzzle:

  • Make one real phone call and one FaceTime call to you.
  • Send a text — and a photo in a text — to a grandchild.
  • Find the camera and take a picture, then look at it.
  • Open the one or two apps they use most (mail, photos, the news).
  • Practice unlocking the phone three times with Face ID or the code.

When to just book a patient local setup
